Work you'll do

 

As the Program Operations Analyst you will partner closely with senior managers and program leadership to support planning, execution, and day-to-day operations across complex, multi-stakeholder initiatives, proactively identifying issues, resolving operational blockers, and escalating risks as needed.

 

Primary Responsibilities:

 

  • Interface regularly with key stakeholders, process leads, and leadership to align priorities, resource needs, and messaging across program initiatives.
  • Lead the end-to-end development of executive communications, including organizational updates, leadership announcements, client communications, and monthly newsletters, partnering with leaders to gather inputs, refine messaging, and ensure clarity, accuracy, and alignment to strategic objectives.
  • Advise leadership on key messaging, presentation content, and narrative structure to support decision-making and achieve desired business outcomes.
  • Create and maintain operational, financial, and resource-related documentation, including executive-level PowerPoint decks, analytics summaries, tracking tools, and instructional materials to support program execution and leadership reporting.
  • Leverage advanced Excel capabilities (PivotTables, tracking models, reconciliations) to analyze volumes, statuses, spend, approvals, and vendor activity, enabling data-driven insights and informed decision-making.
  • Monitor and report on program metrics, budget status, and operational performance, ensuring audit-ready documentation and consistent reporting to senior stakeholders.
  • Support budget planning, tracking, and analysis by monitoring spend versus plan, validating requests against approvals and limits, and providing regular status updates to leadership.
  • Assist in resource and workload planning activities by tracking demand, analyzing engagement volume, and supporting leadership with insights into capacity, priorities, and future needs.
  • Collaborate with leadership to support annual budget planning and financial models, contributing to forecasts, tracking tools, and financial analyses aligned to program objectives.
  • Lead end-to-end Third Party Risk Management (TPRM) and vendor payment processing for ~50 engagements annually, ensuring compliance with firm policies and program governance requirements.
  • Manage vendor onboarding (W‑9s, banking information, representative forms), draft and track donation/sponsorship agreements, coordinate approvals, submit invoices, resolve AP issues, and ensure timely payment completion.
  • Maintain structured tracking and documentation to support compliance, audit readiness, and timely execution across all third-party engagements.
  • Develop and refine executive-ready PowerPoint presentations, including content editing, formatting, visual enhancements, chart creation, and final quality assurance.
  • Support program and leadership meetings by developing agendas, run-of-show materials, and briefing documents, coordinating speakers and materials, and moderating sessions to keep discussions focused, efficient, and outcome-driven.
  • Participate in program reviews and planning sessions, contributing operational insights, risks, and recommendations to support continuous improvement.
  • Demonstrate strong relationship-building, communication, and coordination skills in a large, matrixed organization, supporting distributed teams and leadership across multiple initiatives.

Qualifications

 

Required:

 

  • At least 2 years of experience working, and supporting multiple software projects in various IT roles.
  • Demonstrated experience with stakeholder management.
  • Experience with data analytics, metrics creation, resource and budget modeling.
  • Familiarity with SharePoint, MS Project, HP Quality Center, SAP Solution Manger, MS Powerpoint, MS Excel
  • Prior experience that demonstrates good business understanding is needed (experience in a professional services organization is a plus)
  • Demonstrated ability in applying repeatable processes and methods to enterprise-wide technology projects or initiatives. 
  • Excellent written and verbal communications, organization, analytical, planning and leadership skills.  
  • Strong management, communication, technical and remote collaboration skills are a must.
  • Experience in dealing with multiple projects and cross-functional teams, and ability to coordinate across teams in a large matrix organization environment.
  • Strong relationship building and maintaining skills.  Fosters a climate conducive to establishing positive working relationships with clients (internal and external).

 

Preferred:

 

  • A solid knowledge and understanding of functionality within Deloitte structures
